Privacy and your data

ClearAim holds your leadership team's tasks, KPIs, outcomes and weekly check-ins. Here's the short version of how we keep that safe and yours. The full details are in our privacy policy and on the security page.

Your company's data stays separate

• Every record belongs to one company. Postgres row-level security enforces that in the database itself, so one company's data can never show up in another's.
• Team members see what their role allows. Members see their own tasks, leaders see the leadership picture, and viewers can read but not change anything.
• Coaches see a client only after the client turns coach access on, and the client can turn it off any time. See The coach workspace.

What the AI sees, and what it doesn't do

ClearAim uses AI to read check-in replies, match them to tasks, KPIs and outcomes, and help write the brief.

• We use the Anthropic API under commercial terms. Under those terms, what we send is not used to train models.
• We send only what the job needs: the reply, plus the relevant tasks, KPIs, outcomes and responsibilities.
• When the AI isn't sure, it asks the leader to confirm before anything changes. See AI matching and Undo.

No time tracking, no activity tracking

ClearAim works from what leaders choose to tell it in their check-ins and what they add themselves. It doesn't track time, and it doesn't watch which apps or sites anyone uses.

If either is ever added, it will be opt-in per company, with clear notice in the app and by email, and each team member will see and be able to correct their own data first.

How long we keep things

• Raw email bodies from check-in replies are deleted after 90 days. The tasks and updates they produced stay with your workspace.
• Workspace data is kept while your company's account is active.

Export and deletion

• Export any time: tasks, outcomes, KPIs and KPI values download as CSV from their pages in the app.
• Full export or deletion on request: email us and we'll complete either one within 30 days.
• If your data sits in a company's workspace, you can also ask that company's ClearAim admin, and we'll help them respond.

Links and sign-in

• Check-in form links are signed and expire after 7 days. Confirm links expire after 72 hours.
• Sign-in uses a magic link by email or Google. Magic links last 15 minutes.
• Integration credentials, like a ClickUp token, are stored encrypted.
