Check-ins
How the weekly check-in email works, how to reply, the mobile form, reminders and vacation pause.
The check-in is the heart of ClearAim: one short email that asks what got done. Leaders reply with a few lines, and their tasks, outcomes and KPIs update themselves.
When check-ins go out
These are the starting defaults. Every one of them is a setting your company can change.
- Weekly, on Friday at 2:00pm, in each person's own local time.
- One friendly reminder 20 hours later, only if there's no reply yet. It's sent once.
- Leaders get check-ins. Members can be added. The CEO doesn't get one by default but can turn it on (leading by replying is a nice touch).
Prefer a different rhythm? Owners and admins can switch to daily (end of day, "What did you get done today?"), or daily plus a weekly wrap-up, and pick the days, times and questions in Settings → Check-ins. They can also set a different time for any one person.
What the email asks
The weekly check-in arrives with a subject like "What got done this week? (8 open tasks, 3 outcomes)" and four default questions:
- What did you get done this week?
- How did your outcomes move?
- Anything stuck? Who could help?
- Top 1 to 3 commitments for next week?
Your open tasks, outcomes, KPIs and last week's commitments are listed right in the email, so there's nothing to look up. Companies can reword, reorder, switch off or add questions.
Reply by email
Just hit reply and write a few lines. Bullets are perfect:
Done: vendor calls, new pick-list layout. On-time shipping 94. Stuck on the freight quote, could use Sam's help. Next week: finish the training plan.
ClearAim reads your reply, ignores quoted history and signatures, and updates your tasks, outcomes, KPIs, commitments and blockers. Nothing new this week? A quick "no update" or "same as last week" is a perfectly good reply. See AI matching and Undo for what happens next.
Reply from the email address you use in ClearAim, so we know it's you.
Or use the mobile form
Every check-in has a "Prefer a form? Update in 60 seconds" link. No sign-in needed. On the form you can:
- Tick off tasks you finished
- Set each outcome's status and confidence
- Drop in your KPI numbers
- Mark last week's commitments as kept, carried or set aside
- Add 1 to 3 commitments for next week
- Flag one thing that's stuck, and who could help: the CEO or a teammate
The link works for 7 days. If it has run out, choose Email me a new link and a fresh one arrives. Already sent your update? Open the link again and choose Add to it.
Your own check-in time
Anyone can open My check-in time and vacation from the account menu (or the link at the bottom of every check-in) to:
- Pick a day and time that suits you, or use the company schedule
- Pause for vacation: set a first and last day away. No check-ins or reminders go out in between, and they pick up again on their own.
Streaks
When your company has celebrations turned on, the check-in shows your streak, like "You're on a 5-week streak. Reply to make it 6." With celebrations off, there's no streak line at all.
If there's no reply yet
That's okay. Weeks get busy. After 72 hours (24 for a daily check-in) the check-in shows as Still open, and you can still reply or use the form while the link works.
Try it yourself
Open Check-ins in the app and choose Send a test check-in to me. It's your real check-in for this week, so your reply counts.
Still stuck? Email hello@clearaim.io and a real person will help.
