Add tasks by email
Email your personal tasks address, one task per line, and they land on your list.
Got a list in your head, on your phone or in an email thread? Send it to ClearAim and each line becomes a task. No app to open.
Find your address
- Open Tasks in the app.
- Look for Email tasks to with an address like
tasks+…@reply.clearaim.io. - Choose Copy and save it as a contact, like "ClearAim tasks".
The address is yours alone. It tells ClearAim whose list the tasks belong to, so there's nothing to set up.
Send your tasks
Write one task per line in the body of the email:
Book move crew @tom due fri
Call the freight broker !high
Draft the pick-list training due next week
- One task per line. Bullets and numbers (
-,*,1.,[ ]) are tidied away for you. - Quick-add shortcuts work on every line:
@owner,#project,!high,due friandkpi:name. See Tasks and quick add for the full list. - The subject can pick the project. If the subject matches a project name, like "New warehouse layout", every task goes there unless a line says otherwise with
#project. - Tasks are yours by default. Add
@nameto give one to a teammate. Members add tasks for themselves, so if a member names someone else, the task stays on the member's own list and the confirmation says so.
You can send up to 50 tasks in one email.
What gets ignored
ClearAim reads only the new text you wrote. It skips:
- Quoted history from earlier messages ("On Tuesday, Sam wrote…")
- Your email signature, phone numbers and legal footers
- Sign-offs like "Thanks" or "Best"
So forwarding a thread with a short list on top works nicely.
The confirmation email
A moment later you'll get a reply from ClearAim listing each task it added, with its due date, project and owner. If it didn't spot any tasks, it tells you that instead, so you're never left wondering.
A few rules that keep things safe
- Send from the email address you use in ClearAim. Mail from any other address is set aside.
- Viewers can't add tasks by email, since viewer access is read only.
- Sending the same email twice won't double up. ClearAim recognizes the repeat and skips it.
Troubleshooting
- No confirmation? Check you sent from your ClearAim email address, and that the address was copied in full (the part after
tasks+matters). - A task landed in the wrong project? The subject may have matched a project. Open the task and change it, or add
#projecton the line next time. - A word you meant as the title disappeared? Words like
due frior!highare read as shortcuts. Rephrase slightly ("Friday delivery") to keep them in the title.
