ClickUp import and two-way sync

Bring tasks over once from a CSV export, or connect ClickUp and keep both sides in step.

Already running tasks in ClickUp? You have two friendly options:

  • Import once from a CSV export, then work in ClearAim from here on.
  • Sync both ways, so teams who love ClickUp keep using it while ClearAim ties the work to KPIs and outcomes.

Owners and admins handle both, since they touch everyone's tasks.

Option 1: Import from a CSV

Export from ClickUp

  1. In ClickUp, open a List or Space.
  2. Choose ⋯ → Export, pick CSV and include all columns.

Files can be up to about 900 KB. For a bigger workspace, export one Space or Folder at a time and import them one after another.

Import into ClearAim

  1. In ClearAim, open Tasks and choose Import from ClickUp.
  2. Pick your CSV file. ClearAim reads it right away and shows a preview.
  3. Check the mapping:
    • Lists → projects: each ClickUp list becomes a new project, or goes into a project you already have.
    • Assignees → team members: matched by email where possible. Pick a team member for anyone left over, or leave them with the default owner.
    • Statuses: how each ClickUp status should read in ClearAim (Open, In progress, Done or Cancelled).
    • First few tasks: a quick look so you can spot anything odd.
  4. Choose Import. Tasks, subtasks, assignees, due dates and notes come across.

When it's done, you'll see a summary. A great next step is Link imported tasks, which opens the By responsibility view so you can tie the new tasks to KPIs and responsibilities.

Option 2: Two-way sync

Connect

  1. Open Settings → Integrations and find ClickUp.
  2. Choose Connect ClickUp, or paste a personal API token instead. (In ClickUp: your avatar → Settings → Apps → API Token. It starts with pk_.) Tokens are stored encrypted.
  3. Pick the ClickUp workspace.

Set it up

  1. Lists: tick the ClickUp lists you want in ClearAim. Each one pairs with a ClearAim project, new or existing.
  2. Statuses: ClearAim makes a first guess at how each ClickUp status maps. Adjust anything that looks off.
  3. Team members: ClickUp members are matched to your team by email. Choose a default owner for tasks with no assignee, or one we couldn't match.
  4. Choose Start sync. The first pass brings your existing tasks over, and you can watch the progress.

What stays in step

  • Title, notes, status, due date and owner flow both ways. The owner is the first matched assignee in ClickUp.
  • Subtasks come along with their parent tasks.
  • If both sides change the same field, the newest edit wins, and it's noted in the history.
  • Deleting a task in ClickUp cancels it in ClearAim. The sync never deletes anything in ClearAim.

Due dates sync as dates, without a time of day. Moving a task to a different project in ClearAim isn't sent back to ClickUp, so move it in ClickUp if you want both sides to match.

Managing the sync

The ClickUp card in Settings → Integrations shows the workspace, the synced lists and when it last synced. From there you can:

  • Choose Sync now for an instant refresh.
  • Change lists and mapping at any time.
  • Disconnect. Synced tasks stay in ClearAim and changes stop flowing either way. If you reconnect later, tasks are matched up again instead of duplicated.

Which should I pick?

  • Moving to ClearAim for good? Import once.
  • Some teams staying in ClickUp? Sync, so everyone works where they like and the CEO brief still sees it all.
