Tasks and quick add
Add a task the way you'd say it: @owner, #project, !high and due fri, plus the keyboard shortcuts.
ClearAim's task list is deliberately light: tasks and subtasks with an owner, a due date, a priority and a project. What makes it special is that every task can link to a KPI, an outcome and a responsibility, so the week's work adds up to something.
Quick add
Press T on any page in the app (or choose New task) and type the task the way you'd say it:
Book move crew @tom #warehouse due fri !high
That creates "Book move crew", owned by Tom, in the New warehouse layout project, due this Friday, with high priority. A live preview under the box shows exactly what ClearAim understood before you press Enter.
What you can type
@ownerpicks the owner. Use a first name (@tom), an email handle (@tom.okafor), a full name without spaces (@tomokafor) or@me. The start of a name works too, as long as only one team member matches.#projectpicks a project. It's forgiving, so#warehousefinds "New warehouse layout".!high,!lowor!normalsets the priority. Short forms work too:!h,!l,!n,!urgent,!med, or!1,!2,!3.due …sets the date. Also written asdue:fri.kpi:namelinks a KPI, likekpi:on-time.
Anything ClearAim doesn't recognize simply stays in the title, so nothing you type is lost.
Due dates it understands
due today,due tomorrow(ortmrw)due fri,due friday: the next Friday, or today if it's Fridaydue this fri,due next fri,due next week,due next monthdue eowordue end of week(Friday),due eomordue end of monthdue in 3 days,due in 2 weeksdue feb 20,due 20 feb,due feb 20 2027due 2/20,due 2/20/27,due 2027-02-20
Dates use your own time zone, so "today" is always your today.
Keyboard shortcuts
- T opens quick add (whenever you're not typing in a field).
- Enter adds the task. ⌘ Enter (or Ctrl Enter) adds it and opens it.
- G then a letter jumps to a page:
- G O Overview, G I Insights, G T Tasks, G P Projects
- G U Outcomes, G K KPIs, G M Team, G C Check-ins
- G B Briefs, G L Blockers, G , Settings
Hover a nav item on a larger screen to see its shortcut.
Views
The Tasks page has tabs for My tasks, Team tasks, By project, By KPI, By responsibility, Unlinked, Overdue and Done this week. The Unlinked tab is a quick way to tidy up: tasks with no project, KPI, outcome or responsibility show there.
Subtasks
Open a task to add subtasks. They go one level deep and start with the parent task's owner.
Who can add what
- Owners, admins and leaders can add tasks for anyone.
- Members add tasks for themselves.
- Viewers have read-only access, so quick add is hidden for them.
More ways to add tasks
- Email them in, one per line.
- Import or sync from ClickUp.
- Just mention new work in your check-in. ClearAim adds it as a task for you.
